  • Overview

    The Project Management Specialist is responsible for managing and supporting Tiffany’s Global Organizational Effectiveness projects with company-wide impact, such Employee Onboarding, Career Development, Employee Survey, Education Assistance, Leadership Development, and Diversity & Inclusion education and training. The role will liaise with a wide range of stakeholders (e.g., employees, business leaders, HR generalists and specialists) at various levels to create, manage and support project planning, timelines, communications and related administrative tasks. This position enables seamless integration of company-wide initiatives and is central to the success of the Global Organizational Effectiveness group. 

    Responsibilities

    PROJECT MANAGEMENT

    • Act as project manager or support for any key Global Organizational Effectiveness projects initiatives, such as “Grow With Tiffany” Career Development projects, Education Assistance, Talent Management projects, D&I-related education and training, etc.
    • Manage the transition of the current intranet sites to SharePoint (including the Grow With Tiffany and Tiffany Academy stakeholder portal) by partnering with internal IT and external vendors.
    • Manage various project translations such as Employee Onboarding program, Mind Gym, core training programs, internal communications (as needed), global OE programs, D&I training programs, etc.
    • Employee Onboarding Program- Organize and run regular meetings of the cross-functional steering committee for Onboarding; Maintain the onboarding portal and ensure it is up to date in all languages; Support retail onboarding for global store-based staff.

    VENDOR MANAGEMENT

    • Manage current vendors, including but not limited to: Harvard Manage Mentor, Mind Gym, Korn Ferry, Cook Ross, The Booth Company, TruScore, Transperfect, Enlaso, The Conference Board, Corporate Executive Board, PROSCI, Linkage, NGenious, Something Digital, GSB, hotels and event caterers.
    • Manage graphic designer and custom printer vendors for brand integrity and timelines.
    • Identify new vendors, negotiate rates, and provide feedback to ensure top-quality products and services are being provided.

    SUPPORT AND ADMINISTRATION

    • Schedule, coordinate and support meetings and events.
    • Arrange the ordering and/or printing of materials.
    • Monitor and manage team email inboxes, calendars and timesheets.
    • Supervise and maintain budgets for team cost centers including forecast planning, budget tracking, reconciling, and invoice processing.
    • Maintain team intranet sites.
    • Provide additional ad hoc administrative support as requested.

    LEADERSHIP DEVELOPMENT PROGRAM

    • Manage project timeline (determine deliverable timeline, vendor determination timeline, participant communication and pre-work timeline)
    • Lead project management and vendor management efforts for Korn Ferry (program designers) and other outside vendors in contract negotiation, managing deliverables, interpreting facilitator’s guide to ensure venue can support the program needs and ensuring appropriate materials are procured
    • Draft communications send to participants and members of ExCom with regards to the program. Draft new pre-work materials and edit existing materials to adhere to program changes
    • Shepard participant experience including nomination process, pre-work logistics including executive coaching and meetings with senior leaders, create cross-functional work groups throughout the program and dynamic seating charts to enhance networking possibilities
    • Maintain LDP brand for all materials associated with program communication and collateral. Manage graphic designer and custom printer for brand integrity and timelines
    • Select site, negotiate contract, and work with on-site staff to create seamless experience for participants, facilitators and senior leadership guests. Select food and beverage and décor to support different activities and program needs      

    Qualifications

    • Bachelor’s degree
    • Prior experience managing (directly leading and owning) complex projects with broad scope, impact and visibility
    • High level of technical proficiency with Microsoft Office applications including Word, PowerPoint, Excel, Outlook
    • Excellent written and verbal communication skills with experience communicating effectively with executive-level and global stakeholders
    • Meticulous attention to detail
    • Excellent organization and follow-up skills
    • Service-oriented and professional (corporate) experience
    • Vendor management experience

    Preferred Qualifications 

    • Project Management Professional certification
    • Technical proficiency with design software (InDesign, Photoshop, Publisher) and web publishing (SharePoint)
    • Strong problem-solving skills
    • Global work experience (working with international partners)
    • 5+ years of prior professional work experience
