Overview

This individual will oversee calendar management and provide administrative support for the VP, Public Relations, as well as overall departmental meeting organization and team support.  This person will also assist with the communication of global PR results and media monitoring in conjunction with the corporate PR team. The person in this position should possess experience in both public relations and administrative roles and demonstrate the ability to be highly organized, maintain grace under pressure, and develop relationships with key stakeholders and their administrative support.  This candidiate should project a positive, gracious and professional reputation for the PR department and own the ability to juggle multiple projects with various lead times.    

Responsibilities

  • Maintain accurate appointment calendar and business schedules for the VP of PR, including arranging meetings and travel, and preparing expense reports. Coordinate with other support as required.
  • Screen internal and external inquiries using sound judgment, tact and follow up.
  • Help facilitate an organized and manageable daily schedule for the VP of PR
  • Organize internal and external meetings, including establishing meeting protocol and preparing materials, organizing A/V and refreshments, confirmations and security access etc.
  • Use google alerts and scan daily newspapers for breaking Tiffany news and important daily reads from the news, luxury and lifestyle press. Circulate daily and weekly clip reports in an easy to digest format.
  • Clip Books
  • Assist with the compilation and distribution of monthly and quarterly press clip books
  • Media Monitoring & Reporting
  • Assist with compilation of corporate news media as needed; partner with agency to delivery weekly monitoring report to leadership
  • Gifting:
    • Work with MPM & Regional teams to developing gifting options for press and clients including:
      • Press Previews
      • Event
      • Seeding
      • Holiday
      • New Product Launch
      • Special Initiatives (ie: Documentary, DSM)
    • Responsible for coordinating seeding/gifting shipments:
      • Work with transportation on the necessary procedures and paperwork (can differ from country to country
  • Responsible for invoice tracking, reconciling
  • Assist with special PR projects and events as necessary, including the development of strategic materials with the VP of PR
  • Set up and maintain department files and team calendars, order office supplies. Provide administrative support to the PR department as needed
  • Assist with preparation of VP presentations, including formatting, visuals, trend research, etc

 

Qualifications

  • Bachelors degree
  • 1-3 years of administrative experience, including work with a senior executive
  • Strong written and verbal communication skills with the ability to multi-task and work independently
  • Must be punctual and skilled at time management
  • Highly organized, detail oriented and comfortable working with highly confidential data
  • Individual must have moderate to advanced computer skills in the following programs: MS Word, Excel, Outlook and PowerPoint
  • Have working knowledge of Filemaker Pro
  • Ability to develop relationships and work well intra-departmentally
  • Ability to work overtime as needed
